Invoices: Boring Documents With Exciting Potential

October 1, 2020

This guest blog post is brought to you by Zervant, an online invoicing, time tracking, and accounting software trusted by 60,000 small businesses and sole traders.

Running your own business can be challenging, but it’s certainly never dull. Unless, of course, you’re talking about invoices. So here at Zervant we’ve put together some advice on how to master the art of invoicing. Since we started our business back in 2010 our online invoicing software has helped more than 60,000 entrepreneurs and we wanted to use this knowledge and experience to show service providers on Bidvine what the possibilities are.

Top 3 “Invoice Hacks” to Boost Your Business

George Harrison claimed that ‘the Beatles saved the world from boredom.’ And though we can’t quite promise our tips will be as exciting as Beatlemania, they’ll certainly make invoicing less painful—and more profitable! Plus we’ve even included a free invoice template, ready for you to use (simply scroll down for the download link).

1. The Personal Touch – The first and most obvious hack is to do with appearance. And this is crucial. Your invoice will go through many sets of hands and it will land on a lot of desks. So you need to make sure you use all this exposure as a platform to promote your business.

The Personal Touch

Think of it almost as free advertising.

Indeed, this bit of A4 represents your company in the eye of your customer. You need to make it stand out, but how? Well, first off, always include your company logo and a brief thank you message. And by adding a discount code on invoices, you’re also encouraging repeat business!

2. A Bit of a Creative Flair –  Hack number 2 is all about breathing some life into this dull part of your daily admin. Yes, it’s an official document. And yes, it’s a very important one—it ensures you get paid! But there’s no reason why you can’t get a little creative with it.

Why not add an inspiring quote to go with your thank you message? Nothing too dramatic or over the top. Just something that reflects what your business does and what you’re all about. A quote about improvising, for example, might be great for a music school. But it’s hardly the best idea for a security firm or structural engineering consultants!

A Bit of a Creative Flair

Here’s a couple of our current favourites. One comes from Einstein: ‘Logic will get you from A to B. Imagination will take you everywhere.’ Another is from Larry Page, co-founder of Google: ‘Always deliver more than expected.’ You’ll know when you come upon the right one.

3. Strength in Numbers – Whilst hacks 1. and 2. are great for making your invoice stand out and promoting your business, let’s not forget the main point of the document. Invoices are for making sure you get paid! Latest research shows that smaller firms in the UK are owed an eye-watering £70 billion in late payments. And that’s where hack 3. comes in, because it’s not only how your invoice looks, but what you do with it that harnesses potential.

First off, send the invoice as soon as you can. The quicker you send it, the quicker it can be paid. Furthermore, the easier an invoice is to understand, the less questions your customer will have. Again, this hopefully means quicker payment.

Last but not least is persistence. There’s nothing wrong with sending gentle, polite reminders about your invoice. Be it a few days before the due date, on the day itself, or afterwards. It’s your money, after all, and you have a right to ask for it.

1. The Cash Flow

Do you want to know how to save money in your business? Know where the main source of cash is coming from and to?

Then the cash flow statement is the ideal place to start.

Your cash flow statement allows you to see the bigger picture of the finance side of things in your business. And it’s one of the more important financial statements as far as measuring your business finances go.

Essentially, the cash flow statement reports the sources of cash in three main categories. And they are as follows:

  • Operating activities – these are your primary means through which you generate revenue (from sales, accounts receivable, etc.) and your expenses.
  • Investing activities – these are the less common sources of cash, especially for small businesses, but generally also include buying and selling assets.
  • Financing activities – these cash flows come from changes in equity and borrowing.

In order to remain a business, you must have a positive level of cash flow – so, start there.
